For dealers
From first account to live inventory
The goal is simple: list your stones once, keep them accurate, and make it easy for serious buyers to enquire without you repeating the same explanation every day.
Step 1
Create a dealer account
Start with your business name, contact email, mobile number, country, website or social profile, and the type of stones you supply. Chaos reviews dealer accounts so buyers are not dealing with anonymous sellers.
Step 2
Complete your company details
Add a clear company name, trading region, phone number, website, Instagram if relevant, and any documents Chaos asks for. This helps us verify that the account is a real trading business.
Step 3
Upload or connect your inventory
You can add stones manually, upload a CSV, connect a JSON or CSV feed URL, or send WhatsApp photos and details for draft creation. API feeds are cleaned, translated and synced in batches so large feeds can be processed safely.

Chaos cleans the stone data
Different suppliers use different field names. Chaos translates common labels such as stockNo, reportNo, CertiNo, colour, purity, carat, lab, measurements and availability into one marketplace format.
Step 5
Your stones appear to approved buyers
Available stones can be shown to jewellers, retail buyers or both depending on the account setup and listing rules. Private sync keys, dealer cost controls and internal diagnostics are not shown publicly.

Enquiries come back through Chaos
When a jeweller or retail buyer asks about a stone, you confirm that it is still available, confirm the price, and provide any missing certificate, media or shipping information.

What dealers should provide
Chaos can work with imperfect data, but clean data imports faster, filters better, and gives buyers more confidence. These are the fields to aim for.
Keep stock numbers stable.
If a stone has no certificate number, Chaos uses the stock number as the private sync identity. Changing that stock number later can make the same stone look like a new listing.

Three ways to add stones
Manual or CSV
Best for small inventories, one-off uploads or dealers who already maintain a spreadsheet.
API feed
Best for thousands of stones. Chaos fetches the feed, translates fields, cleans values and syncs in controlled batches.
WhatsApp intake
Best for dealers who trade through messages. Send stone details and media, review drafts, then approve before publishing.
Common questions
Answers you can send to dealers
Do I need an API feed to list on Chaos?+
No. An API feed is helpful for larger dealers, but it is not required. You can upload stones manually, use CSV import, or send stone details and media through the WhatsApp intake workflow so Chaos can create drafts.
What happens if my feed does not include certificate numbers?+
Chaos can still import those stones. It uses a private sync key based on the stock number so the listing can be updated safely on the next sync. The public certificate number will remain blank unless your feed provides one.
How do I avoid duplicate listings?+
Keep the same stock number for the same physical stone and keep certificate numbers consistent. If both the stock number and certificate number change, Chaos may not be able to prove it is the same stone.
What does the API diagnostics log mean?+
Warnings usually mean Chaos fixed or worked around missing data, such as a blank certificate number. Errors mean a row could not be saved, usually because a value is not in the expected format or the live database schema needs a migration applied.
What happens when a stone sells?+
Mark it sold or remove it from your live feed. On the next sync, Chaos can mark it unavailable so buyers do not keep enquiring. Jeweller Shopify feeds can also draft or delete unavailable products depending on their settings.
Can WhatsApp-only dealers work with Chaos?+
Yes. The first version is simple: send stone photos, videos and text details to Chaos, then review the draft listing before it goes live. This is useful for dealers who do not maintain a formal spreadsheet or API.
Who sees my dealer information?+
Chaos shows enough information to build trust, but sensitive fields such as private API keys, internal sync keys, wholesale controls and admin diagnostics are not shown to public retail buyers.
How quickly are new dealers approved?+
Chaos reviews account details before approval. A complete profile with company name, website, phone number and trading details is much faster to approve than a blank or unclear account.
