Responding to Enquiries Fast: A Dealer's Guide
Response time is one of the strongest trust signals a buyer sees before ever meeting you. What "fast" actually means, and how to protect it at scale.
In a marketplace where buyers can see response history, not just listings, response time functions as a trust signal almost as strong as the stone itself β a buyer choosing between two comparable stones from unfamiliar dealers will often default to whichever dealer responds faster and more completely.
What "fast" actually needs to mean
Same-business-day is the realistic bar for a first response, even if it's just confirming you've seen the enquiry and will follow up with detail β a buyer who hears nothing for 48 hours has usually already moved on to a competing listing. The first reply doesn't need to close the sale; it needs to signal that a real, responsive dealer is on the other end.
Templates save time without reading as generic
A small set of prepared response templates for the most common enquiry types (availability confirmation, treatment/origin detail, bulk pricing) lets you respond fast without writing from scratch each time β the trick is customising the opening line and the specific stone detail so it doesn't read as an obvious form response. Buyers can tell the difference between fast-and-personal and fast-and-canned, and only one of those builds trust.
Answer the question that was actually asked
A buyer asking about treatment status wants a direct answer, not a redirect to "great stone, let's discuss" β incomplete first responses generate a second round of questions that could have been resolved in one exchange, effectively doubling your response burden for no relationship benefit. See our listing-writing guide for how a genuinely complete listing reduces how many of these easy questions you get in the first place.
Set expectations when you genuinely can't be fast
If you're travelling, at a gem show, or otherwise going to be slow for a known stretch, an autoresponder or a note on your profile stating expected response time is far better than silence β buyers forgive a stated delay far more readily than an unexplained one.
