Talking Clients Through the Client-Supplied Stone Process

A client who's sourced their own stone is usually more engaged and better-informed than average — set expectations early and the relationship runs smoother.

A client bringing in their own stone has typically done real homework before walking through your door — understanding that, and meeting them at that level, makes the whole engagement smoother than treating it as an unusual or awkward request.

Start by understanding why they sourced it themselves

Buyers source their own stone for different reasons — better value, a specific shape or origin they couldn't find through a single retailer, or simply wanting to see and compare real stones before committing (see our bespoke sourcing guide for the buyer-side version of this reasoning). Understanding their motivation early helps you pitch the design conversation at the right level rather than assuming they need to be walked through diamond basics they may already know well.

Set pricing expectations before design work begins

Explain up front that setting-only pricing works differently from a package price, and why — see our pricing guide for the underlying logic. Clients who understand this at the outset rarely push back on it; clients who discover it partway through a design process are far more likely to feel surprised or misled, even when the pricing itself is entirely fair.

Be explicit about the intake and documentation process

Walk the client through what you're checking (certificate match, condition documentation) and why, before you do it, not as a silent background process. This visibly protects the client as much as it protects you, and most clients respond well to seeing that a jeweller takes their stone's provenance and condition seriously rather than treating intake as a formality.

Confirm insurance coverage as part of the conversation, not an afterthought

Being able to tell a client plainly that their stone is covered under your bailee's insurance while it's in your care (see our insurance guide) is a genuine trust-building point — raise it proactively rather than waiting to be asked.
